Medical records, bills and automated follow-up

The Records tab tracks every provider, records request and medical bill on a case.

Records requests

Create a request with the provider, patient details and dates of service. Clerkly generates the cover letter and HIPAA authorization from your approved templates and tracks the request by reference code.

Automated follow-up

Once a request is sent, Clerkly follows up automatically — by email on days 10, 20 and 30 (configurable in Settings → Records follow-up), or with tasks for fax, mail and portal requests. After 45 days without records, the lead attorney gets a high-priority escalation task and the request shows an Escalated badge.

Bills and specials

Confirmed bills lock so the specials ledger can't drift. The AI can extract bill line items from uploaded statements, but a person always confirms before amounts are locked.
